The program dashboard provides users with information about FSRs, Work Orders, Investigations, and Projects that they have a direct relatioship with. They can also select to view other projects that they are participating in but are not directly responsible for. This is performed by a complex logic as described below:
-
Record Groupings/Filters: The available list of records is grouped into the following categories
-
-
Program Filter: Investigations are first filtered by Program. Investigations assigned to Programs that have a Program Status set to "hide" from the dashboard will not be visible
-
Workflow Status: All investigations that have been withdrawn or rejected will be hidden from the dashboards
-
Security Group Filter: Any users placed into security access groups found within the Security Group Filter as detailed below will be automatically provided access to all active FSRs/Investigations
-
Investigator Filter: All other users will default to only see investigations for which they are assigned as the investigator.
-
-
Program Filter: Projects are first filtered by Program. Projects assigned to Programs that have a Program Status set to "hide" from the dashboard will not be visible
-
Active Projects: Project that are deactivated (light bulb button not "lit" in tools on project record) will be hidden from the dashboard
-
Security Group Filter: Any users placed into security access groups found within the Security Group Filter as detailed below will be automatically provided access to all active Projects
-
Project Manager Filter: All other users will default to only see projects for which they have been assigned to a workflow role that includes "Project Manager" in the role title (found on the Project Record > Users tab)
-
Furniture Budget: Furniture budget projects (associated with the "Furniture" program) follow that same logic as Funded Projects above but also will automatically show on the dashboard for all users in a security group that has "Furniture" in the group name.
-
-
Location Filter: Work Orders are first filtered by a users access to asset locations. If a user cannot access a work order, they may not have access to the location within the PMWeb security module (user access/project access features)
-
Open/Closed Status: The top of each Work Order record includes a checkbox to identify if a Work Order has been closed. Any records with this box checked will be hidden from the dashboard.
-
Admin: Admin account has access to all work orders
-
Project Manager: Users assigned as the project manager in the Work Order custom field will have access to their assigned work orders
-
-
-
Furniture Management: This security group will have access to all furniture based work orders on their dashboard
-
-
Capital Planning Management: This security group will have access to all real estate based work orders on their dashboard
-
Displaying Additional Records: Users can display additional records on their dashboard by expanding the list of parameters after running the report.
Within the parameters, there is are three multi-select paramters: Projects, Investigations, and Work Orders. Simply check/uncheck items in these lists and then click the View Report button to refresh the dashboard.
-
Unassigned Records: Part of the records management process for investigations, projects, and work orders is the assigment of a project manager or investigator. Records which have not been assigned will show at the top of each respective record type grouping in the dashboard records lists.
-
Security Group Filter: The program dashboard report has been setup with a hidden paramter that stores the list of security access groups that have automatic visibility of all active investigations and project on the dashboard. To update this list, a qualified administrator must edit the report RDL file. The parameter is named GroupsWithAllProjects and the list of groups is entered as default values within the parameter. To add/remove a group, edit the parameter. Navigate to the "Default Values" tab and add/delete items in the list. These values must be an exact match to the security group names as found in PMWeb.
